Potion is seeking an energetic Business Development Producer to join our team.  The Development Producer combines the skills and executional responsibilities of a producer with the tailored focus of finding, creating, and developing new projects and new opportunities.

S/he is the tactical gatekeeper for the studio and works with Ops, Production, and Management to convert opportunities into projects, projects into programs, and programs into reputation.

The Development Producer is a gatekeeper catalyst for Potion in a few key ways:

1.) PR/Communications Management – Before opportunities present themselves, Potion always seeks to create the conditions where they can be made manifest by positioning itself as a well-regarded home for world-class creativity.  The development producer does this by pro-actively managing Potion’s outward-facing media (social, website, and outside programming) with an eye toward raising our profile, strategically sharing our work and culture, and making sure we are active participants in the major events, award, and discussions in our industry and professional community.

2.) Client/Opportunity Management – When opportunities present themselves in the form of RFPs, RFIs, RFQs, phone inquiries, or other means, the Development Producer functions as the day to day manager and shepherd of that client’s project and the development of the opportunity to the point of SOW signing.  The Development Producer must build both credibility as an individual and for Potion as a whole with an eye toward bringing the opportunity to Potion, and building a long-term relationship with the prospective client partner.

3.) Project Management – In addition to managing opportunities to the point that they become projects, as the title suggests, the Development Producer will also manage appropriate projects through their life cycle.  This includes the standard responsibilities of a producer including serving as our client’s point-of-contact, managing client communications, product expectations, and representing the studio in day-to-day operations. Internally, the Producer manages the progress of our projects through each design phase, protects against scope creep, maintains the project schedule and budget and offers mentorship to Production Interns and Associate Producers.

Expectations and Responsibilities

The position requires proficient execution in performing work such as:

  • Acts as the key liaison and Potion representative for new clients and new business opportunities.
    • Tracks prospective leads, clients, and reasons projects are won/lost.
    • Regular outreach and representation to generate opportunities to new Potion clients.
    • Creates Potion decks for capabilities conversations and project interviews.
    • Shepherds new opportunities from initial client outreach (e.g. RFPs/RFQ/RFIs) through award & handoff to production including:
      • Setting and managing expectations for clients on scope and nature of engagement.
      • Customizes the structure, process/methodology, and content design of proposals for each potential type of work to meet client and Potion objectives.
      • Writes cover letters in the “Potion voice”.
      • Writes creative narrative descriptions of ideas and concept.
      • Prepares cost estimates, project schedules, and resource availability with Production.
      • Manages the transition of a new project to a day-to-day producer by thoroughly briefing the new project team, and setting expectations with the Client.
  • Communicates Potion’s mission, specialties, past projects, team members, and other relevant topics to the outside world across all channels, including:
    • Manages Programming of outward facing media channels including the website, social media, events, per overall communications strategy.
    • Creates marketing content for awards submissions, and conference presentations to increase overall awareness of Potion’s work.
    • Monitors industry gatherings and relevant industry activity in social or other media.
    • Writes and/or collects case studies by interviewing project team members, collecting press mentions, awards won, references, and reviewing with Managing Director.
    • Occasionally, attends conferences and networks on behalf of Potion.
    • Manages Potion Award Submissions.
  • Project Management
    • Managing multiple projects in production simultaneously, defining the scope of current and new projects (goals, deliverables, schedules, staffing, SOWs, and budgets).
    • Leading efficient and successful meetings and conference calls with the ability to clearly communicate project issues and resolutions to both internal and external team members.
    • Collaborating with the project team (using the contract as a context) during the creative process and provide perspective on client’s expectations of any given project.
    • Promoting and maintaining a friendly, motivational, can-do, team-oriented attitude.
    • Miscellaneous admin duties as assigned by Managing Director.

Qualifications and Skills

The ideal candidate is confident and self-starting, not afraid of technical details or complex subject matter, has an astute ability to see and understand the big picture, even if not responsible for specific details.

  • Bachelor’s Degree and 4+ years of experience in a professional setting producing projects, ideally in an interactive agency setting.
  • A quick study who loves to learn about new innovations, technologies, and processes, as part of their job.
  • Strong communicator with both creative individuals and clients alike, with excellent written and spoken command of the English language. Be a successful liaison between clients, partners and internal Design and Development disciplines.
  • Problem-solver, planner, and facilitator that supports the needs of our teams. Be a provocateur, think ahead, ask questions, raise concerns, and propose creative solutions for project issues on the horizon.
  • Remains calm under pressure, is quick-thinking, hands-on and functions with a high degree of accuracy.
  • Demonstrates clarity, firmness, and fairness with clients, educating them as to the difficulties and challenges during each phase of the studio’s process in context with their respective contract with Potion. It is understood that these qualities will help to ensure appropriate expectations and foster communication while underscoring the collaborative nature of this work.
  • Well-versed in interactive design and software development process, confidently delegates tasks to all members of the team, including freelancers and partners, and oversees their progress.
  • Quick to learn new, appropriate, and relevant software tools, and proficient in productivity software like Microsoft Office and Google Apps; project management software such as Omniplan, Basecamp, and Harvest; development management software like Github, Trello; and basic understanding of Adobe Creative Suite.
  • Position deals with confidential information and/or issues using discretion and judgment. It is important to have a detail-oriented, respectful approach.
  • Ability to work on and contribute to a high performing team.
  • Ability to receive and give critical feedback.
  • Ability to work collaboratively and participate in the creation of a respectful working environment.
  • Conversant with and supportive of the mission and values of Potion.
  • Occasional overnight travel is required for client creative workshops or prospective work.
  • Occasional evening work is required for attaining project final delivery deadlines.
